Job Description

Under the immediate direction of the Assistant Director, The Seasonal Special Events Lead performs the duties of organizing and running the operations of MBAC special events.  This broad-based position includes scheduling and contracting events, maintaining relationships with event customers, staffing events, supervising events, tracking and archiving waivers, event billing, ensuring quality customer service practices are met by all staff, and running the day-to-day operations of special events.

  • Promotes events at MBAC
  • Assures that customer needs are address and met to the highest standards of customer service

ESSENTIAL DUTIES & RESPONSIBILITIES:

 

Essential Duties and Responsibilities

1. SCHEDULING

  • Works with area leads to ensure appropriate staffing of MBAC events activities.
  • Ensures event staffing needs are communicated to Leads with adequate notice
  • Posts employee work schedules and events schedules in a timely fashion
  • Ensures MBAC Special Events calendar is accurate and up-to-date
  • Monitors Kronos weekly for accuracy and budgeting.

2. OPERATIONS

  • Performs and oversees the day-to-day operations special events 
    • Ensures the operation of daily events
    • Ensures staff is present and informed of event details
    • Coordinates classroom space, storage space, and equipment needs for each event
    • Checks in groups and ensures waivers are complete prior to student participation
    • Works to  remedy incomplete waivers
    • Ensures event equipment and materials are cleaned and store at completion of event
    • Returns phone requests for event information
    • Evaluates current programs and develops and recommends innovations and changes in promotions, special events, etc
    • Works with MBAC maintenance to ensure equipment availability and working order 

3. ADMINISTRATION

  • Perform special events administrative functions
    • Ensures serialization and entry of events into Data Management System
    • Ensures data entry and update of event information in Access database
    • Oversees event billing administration
    • Submits billing requests up event completion
    • Processes onsite event payment
    • Conducts monthly billing reconciliation reports
    • Archives and processes event waivers
    • Serializes event waivers for processing
    • Oversees data entry of event waivers
    • Organizes and archives event waivers for storage and retrieval
    • Executes event contracting and confirmation
    • Sends confirmation and organizational waiver to customer ASAP after scheduling event
    • Ensures customer understands waiver and confirmation policies
    • Ensures return of waivers/confirmation prior to event date

4. CUSTOMER SERVICE

  • Serves as point of contact for group organizers/event planners
  • Ensures all staff are providing the best customer service and value possible
  • Responds to event inquiries in a timely fashion
  • Works with Leads to respond to customer complaints and issues

Qualifications

The ideal candidate will have one year in a customer service based administrative position, event management experience, and intermediate knowledge of the watersports offered at MBAC. Computer skills should include experience with Microsoft Access database administration and general skills with Microsoft Excel and Word.  The ideal candidate must be available to work varied and unusual hours May through September. Currently valid CA Driver’s License required.  Bilingual skills are highly desirable. Priority consideration will be given to current full-time SDSU or UCSD student.

 

Certifications: Must possess or be willing to obtain American Red Cross Lifeguarding Certification and successful completion of the California State Parks Division of Boating and Waterways Boating Safety Seminar Series.   Current valid CA Driver’s License required.

Physical Demands

The Seasonal Special Events Coordinator position requires hard work in a very busy and physically demanding environment.  The work environment may involve exposure to salt water, cold water, sun, wind, rain, weather, sand, seaweed, sea grass, ocean currents, sea creatures, breaking waves, and other outdoor elements. Physical requirements may include but are not limited to: walking, running, walking or running over rough or uneven surfaces, bending, stooping, lifting, pushing, pulling, and carrying loads.  Other requirements include general office tasks such as sitting at a computer for extended periods, talking on the phone, filing, typing, lifting, bending and reaching.  The job will occasionally require driving. Work will be completed both indoors and outdoors.
